The Challenge
Hejalutz Lamerjav is a growing youth movement organization managing contacts, events, and engagement campaigns across multiple regions. Before this system, their team faced a familiar struggle: scattered spreadsheets, no unified contact database, and zero visibility into who was attending which events or responding to which campaigns. Regional coordinators maintained their own contact lists. Event registrations came through disconnected forms with no link back to the master contact record. When leadership needed a report on member engagement or event attendance, someone had to manually piece together data from a dozen different sources. The result? Hours of administrative work, duplicated contacts, missed follow-ups, and no reliable way to track the organization’s true reach and impact.
The Solution
We built Hejalutz Lamerjav a custom operations platform—called RUAJ—that brings their entire contact ecosystem into a single, reliable system. At its core is a centralized contact database with sophisticated role-based access control—regional coordinators see their contacts, while national leadership sees everything. The system handles event management end-to-end: public registration forms, automatic capacity tracking with waitlist functionality, and manual contact addition for staff. Every interaction with a contact—calls, meetings, emails, WhatsApp messages—is logged and tied to their record, creating a complete relationship history. For campaigns, we built a bulk import system that intelligently matches existing contacts by email, creates new records when needed, and adds everyone to the campaign in a single operation. No more duplicate entries. No more lost data. Just one source of truth that the entire organization can trust.
